Edit View Job Invoices


This facility is provided to enable access to Invoices which have been created in order to review them. The review process can involve making changes to an Invoice, or simply changing its Status to that of Approved.

Comprehensive filter options are provided to filter the required list of invoices to display:

  • To apply the filter options entered, click the Display button
  • To remove the entered filter criteria and start again, click the Remove Filter button

Invoice Numbers
Select a range of Invoices Numbers to be the subject of your search. The result will be inclusive i.e. will include the Start and Finish Invoice Numbers you have selected.
Note you must always include a range of Invoice Numbers, the default being 0 to 99999999.

Invoice Dates / Year Period
Select a range of dates or Year / Periods to filter the Invoices to be displayed. The result will be inclusive i.e. will include the Start and Finish Dates you have selected. Please note – you must always include a range of Invoice Dates, the default being 01/01/1980 to the current System Date.
Note the default settings come from the Control Parameter 'Edit View AR Invoice Date Filter Defaults'

Client Account / Alpha
Use this option if you are wanting to view transactions for one Client only. The <F4> Client Search function is available on this field.

Job Code
Use this option if your resulting data is to be for one Job only. The <F4> Job Search function is available on this field.

Profit Centre
Select a single Profit Centre on which to report if you wish. Manually enter the Code or select one from the list.

Job Manager
Using this option will result in the display of Invoices for Jobs for this person has responsibility as Job Manager.

Status - Entered/Printed/Approved/Sent/Updated/Cancelled
Tick any combination of these Statuses.
Note the default settings come from the Control Parameter 'Default Criteria Search Job Invoices'

Invoice Types - Invoices/Credits/Internals/Revenue Journals
Tick any combination of these transaction Types.

Value - Invoice Currency / Local Currency
Select the basis of the values to be displayed

Currency
Optionally filter for all invoices in the selected currency

Order Number
Optionally filter for all invoices with the entered Order Number on their Job

Client Financial Company
Where multiple Financial Companies are being used in the single Workbench database, you may select by Clients flagged for the selected Financial Company.

The resulting set of invoices is displayed:

  • Reference
    This field will display the Transaction Type (i.e. Invoice, Credit or Internal) and the reference (e.g. Invoice Number).
  • Date
    The Date on which the item was created will be displayed in this field.
  • Job
    The Job to which the transaction refers will be displayed in this field, while its Description will be displayed in the adjacent field.
  • Description
    The Job Description
  • Client
    The Client to which this transaction has been referenced will be displayed in this field.
  • Status
    This field will show the current Status of the transaction.
  • Value
    The Total Value of the transaction is shown in this field.
  • Currency
    The currency of the invoice
