ENTER DETAILS ABOUT THE MEETING
- Defaults in Today's Date & logged in Users name.
- Confirm This Meeting Date
- Enter Time
- Enter Venue
- Enter Reference
- Enter Type. From the drop down of Job People Group Codes
- Enter Description
- Confirm Minutes By logged in User which defaulted
- Last Meeting. This is a drop down list including past and present meetings.
- Enter Next Meeting Date; Time & Venue
- Attach File. You can attach files to this referenced meeting.
ATTACH FILE
On selecting the file you have the option to:
- copy the file to the Workbench Directory where attached files are kept.
- move the file to the Workbench Directory where attached files are kept.
Amend the description and enter details. You can always view the attached files. This will show the Meeting attachments and the Item attachments (prefixed with 'Item'
Note that you can double Click on any of the Date fields to bring up a Calender for date selection.
- Then enter the Attendees; Apologies; Absentees and Distribution
- Lists will display all people entered through 'Job People Group People' maintenance. Highlight the appropriate names and press Add or Remove.
ENTER ITEMS RELATED TO THE MEETING
This relates to required tasks, actions, follow-up etc after the convened meeting
- Sort: This is a sequence number for sorting the Items
- Reference: 10 character field for user defined reference
- Description: 100 character field for a description of this Item
Dates: The following are three date fields:
- Raised
- Action On
- Closed
Text Fields: There is room to notate each of the three date fields:
- Raised By
- Action on
- Closed
- Details: This is a Memo field.
- Status: Select the appropriate status
- There is also the provision to store related files to each of the Items.
- You can change the Sort numbers and hit re-sort Items to change the order of the list.
From the Item screen you can access any related 'Issues' and 'Actions'. It also is a library of related documents. If you double Click on the Item this screen will pop up linking Issues and Actions to the Meeting.
It is our contention that Meetings and Items give a broad approach to the followup required from meetings, allowing for issues to be raised, actions required and completion dates to be entered. There is also provision for attaching multiple files to Items and Meetings which covers the Related Documents.
From the Meetings Links form you can Attach and View files related to the Item. These can be viewed from within the Item or from the Meetings View File button.
