CREATE THE SCHEDULE

Each Schedule is attached to a SubContract. These need to be set up first.

Note that a Subcontract can be either Schedule based or Non Schedule based. The same Subcontract cannot be both.

  • Go to "Subcontract Schedule Maintenance" to Edit or create a New schedule.
  • Select a valid Subcontract from the dropdown. This will populate the Subcontractor and Job Code.
  • The Description becomes the Schedule Name and appears in the dropdowns so make sure that it is self explanatory.
  • Enter the Line details

Code
The Code provides the order for the printed schedule. As it is an Alpha field ensure that all your numeric codes are the same length. If a 2 digit number then 01 for 1 etc.

Activity / Work Centre
These will be validated for Activity Group and Job Work Centre.

Enter the Quantity and unit Rate required. The WO and Claim will later be generated against these Schedule lines. If the Claims are to be a % of the WO Line it is best to make the Qty 1 and the Claim Qty 0.5 etc.
The Works Order can also utilise the schedule as a Schedule of Rates.

Job Code
The Job Code for the Schedule line will default from the Subcontract Job on the Header but you can change this to be any subjob of that Subcontract Job.

Details
The details will transfer through to the Works Order and the Claim Schedule. It provides further detail (a long description) for the Schedule.

Headings
Some schedule lines can be created as Headers lines only. These will be used as Headings with the Claim Schedule. They will be presented in the Code order from the Subcontract Schedule. Eg.If you want a Heading between Lines 50 & 60 then make a new line called 55 and make this the appropriate heading.

CREATE THE WORK ORDER

  • Create the Works Order Header

Note: the Details on the Works Order Header are very important as this will provide additional detail when making your selection of Works Order for the Claim.

If there is a Schedule already attached to a Subcontract (through the steps already explained above) you can only use schedules on that SubContract. Should you wish to create a Works Order for that Subcontractor, which does not utilise a Schedule, you will need to set up a new SubContract for that SubContractor without a schedule attached.

  • Once you have created the Works Order header, press the 'Add Schedule Lines' button, which will bring up the "Select Subcontract" Code.
  • Select the Schedule that will be used by the Works Order to create the commitment lines. This will bring up the "Subcontract Schedule Lookup" so that lines can be selected.
    (Once you have selected lines from one schedule you can select another schedule and bring in lines from that schedule into the Works Order)
  • From the Lookup you can select the line to import into the Works Order by ticking the line or by specifying 'This Qty' on the line.
  • You can specify a Quantity greater than the Schedule Quantity but it will warn you. This is so that you can use the schedule as a Schedule of Quantities.
  • Ticking the line will always make This Qty = Schedule less Alloc Qty.
  • You can maintain the detail before updating the Works Order as the Works Order lines are Read Only.

  • Press OK when happy with the Qty. This will populate the Works Order lines.

PRINT THE WORKS ORDER

  • To print the works order, press the "Print" button.

PRINT THE SUBCONTRACT CLAIM SCHEDULE WITH ITEMS

  • Press the "Print" button.
