All the files attached under this functionality are stored in a Workbench controlled and defined folder structure.
Note that files may be 'copied' with this Workbench functionality (the default option) or 'moved'
The root folder for all the copied files and folders will be as per the Control Parameter XXXXXXXXXXXXXX
Under this folder, additional folders are automatically created by Record Type (e.g. Jobs, Purchase Orders) and Record (e.g. Job Code 4001, Purchase Order No 12345)
The files are stored with their original names within these folders. In the event that the user attempts to save the same file (say WorkbenchFunctionality.docx) twice in the same location, Workbench will rename the second file to WorkbenchFunctionality(2).docx
Note that users must have network rights to view these folders, and to create new folders.
Ensure that these folders are part of the standard backup processes for the system.
This structure can be accessed via normal Windows folder searching. It is however strongly suggested that the files not be accessed in this manner. Users may be tempted to copy files directly into these folders, and in so doing will destroy the integrity of the process as such files will not be viewable / searchable from within the Workbench functions.
