The information in this section relates to Timesheet Entry with and without Time Codes from within Timesheets. For more information regarding Timesheets and Time Codes refer to "Timesheets" in the Workbench Setup Guide.
TIMESHEETS WITHOUT TIME CODES
This program enables traditional paper based timesheets to be entered on behalf of other staff.
Person
Select an Employee Name from the list, or enter a valid Name manually.
Employee Number
The Employee Number of the selected Employee will be displayed in this field. This field also provides another method of selecting an Employee.
Timesheet Date
This field, based on the current system date of your computer, will display the current Week Ending Date. The left and right directional arrows allow you to select Timesheets for earlier or later weeks.
Timesheet Batch No
This displays the batch number that has been allocated to this timesheet via the Batch Timesheets process.
Create New Timesheet button
If the system determines that a Timesheet for the current Week has not been created, this button will be displayed. It is necessary to create a Timesheet before details can be entered.
Completed
The status of this field is used for reporting purposes. The person who is responsible for ensuring all Timesheets are completed (so they may be Approved and posted to the jobs), can run an "exception" report which lists all "uncompleted" Timesheets.
Approved
Once this is checked, no further entries can be made to the Timesheet.
Date
Enter the Date of the Time/Activity being recorded. This will also become the default for the next field.
Day
The system will determine the day automatically. This field cannot be altered.
Job Code
Enter a valid Job Code or use the <F4> Job Search function.
Description
After selecting an Activity, the Description of that Activity will be displayed in this field.
Activity
Select an Activity from the list or enter a valid Code manually.
All
If Activity Groups are in use the default list of activities displayed is based on the Activity Group of the timesheet employee. Check this box to view all Activities.
Work Centre
The default Work Centre for the Activity will be displayed, and may be accepted or altered. The description of the Work Centre will be displayed in the preceding field.
Hours
Enter the number of hours for which this Activity was performed. The structure of this number will depend upon the number of Time Units per Hour that has been set in the Control File.
Details
Text notes, stored against each line on your Timesheet, can be entered into this field.
Totals
This button can be used to update the Day of the Week and Week Total display fields. Anchor
- Use the menu option Timesheet Entry (with Time Codes)
- Based on the Employee Class of the Person and the Activity Code selected, the Time Codes applicable based on the setup of the Time Codes and Activity Codes will display in the Time Code dropdown in the Timesheet line.
- The Timesheet lines will be costed based on the setup if the Time Code selected.
